Freelance CRM Notion template setup in 10 minutes

A freelance CRM Notion template only helps if you can go from purchase to “Due today” before motivation fades. This walkthrough is the shortest honest path for FollowRail Full: duplicate → delete sample rows → add one real client, deal, invoice, and follow-up → open the Today view. About ten minutes if you stay on the rails.

You will not rebuild an agency OS. You will prove the desk works with one live loop. Expand later. For field budgets once you are live, see simple Notion CRM fields for freelancers. For money rows specifically, pair with the Notion overdue invoice tracker guide.

Before you start (2 minutes)

  • Log into the Notion workspace where you actually work (personal or freelance space).
  • Have one real client in mind—name, one open deal or active project, and optionally one invoice.
  • Know that Notion does not send email or collect cards. The template tracks dates and status; you paste into Gmail / Stripe yourself.
  • Buy path today is FollowRail Full only ($23.99 one-time via Creem). Smaller kits on the homepage are coming soon.

Step 1 — Duplicate the template (~1 minute)

  1. After checkout, open the Duplicate link from the thank-you page or receipt email.
  2. In Notion, choose the workspace and parent page where the CRM should live.
  3. Click Duplicate. Wait until Clients, Deals, Follow-ups, Invoices, and the dashboard/Today page appear.

Rename the top page if you want (“Freelance CRM” is fine). Do not start redesigning properties yet. Setup dies when step one becomes a schema project.

Step 2 — Delete sample data (~2 minutes)

Sample rows teach the shape of the system. They also pollute Today. Clear them before you trust the views:

  1. Open Follow-ups → select sample rows → Delete.
  2. Open Invoices → delete samples.
  3. Open Deals → delete samples.
  4. Open Clients → delete samples.

Leave the database structure, select options (stages, types, statuses), and views intact. You are deleting rows, not ripping out properties. If a relation warns you, delete children (follow-ups/invoices) before parents (clients) when Notion asks.

Step 3 — Add one Client (~1 minute)

  1. New Client row: Name = real person or company.
  2. Fill only what you need today: email or primary contact, optional Status (Active / Lead).
  3. Skip vanity fields. You can add LinkedIn later.

One client is enough to prove relations work. Importing your whole book before the first follow-up is how templates become graveyards.

Step 4 — Add one Deal (~1–2 minutes)

  1. New Deal: title it clearly (“Acme — Q4 site refresh”).
  2. Relate it to the Client you just created.
  3. Set Stage to match reality (Lead, Proposal sent, Negotiation, Active/Won, Lost).
  4. Add Value if you know it; optional Proposal sent date if stage is Proposal sent.

If the client is already in delivery, Stage = Active (or Won) is fine. The point is a linked deal you can hang follow-ups on—not a perfect pipeline taxonomy on day one.

Step 5 — Add one Invoice (optional but recommended, ~1–2 minutes)

  1. New Invoice: Invoice # or label, Amount, Due date.
  2. Relate to the same Client (and Deal if useful).
  3. Status = Draft / Sent / Partial / Overdue / Paid — pick the true one.
  4. If it is already late, Status = Overdue and note a Next chase date or create a Follow-up in the next step.

Skip this step only if you truly have no open invoice. Otherwise do it now so the overdue view means something on first open. Deep dive: overdue invoice tracker.

Step 6 — Add one Follow-up due today (~2 minutes)

  1. New Follow-ups row.
  2. Relate to the Client (and Deal/Invoice if relevant).
  3. Set Type honestly: Proposal nudge, Invoice chase, or Check-in for active delivery.
  4. Due date = today (or the real next chase date).
  5. Status = Open.
  6. Optional: paste a one-line script snippet so tomorrow-you does not rewrite from scratch.

This is the load-bearing step. Without an Open Follow-up with a Due date, the Today view is empty and the template feels “broken.” The system works when the next date exists.

Step 7 — Open Today / Due today (~1 minute)

  1. Go to the dashboard (or Follow up today / Due today linked view).
  2. Confirm your Open Follow-up appears.
  3. If it does not: check filters (Due ≤ today, Status = Open) and that Due date is set.
  4. Send the real message from your inbox. Mark the Follow-up Done.
  5. Immediately create the next row (D+3 / D+7 for proposals, next chase for invoices, next pulse for check-ins)—or close the deal/invoice if done.

Congrats: you completed one full loop. That loop—not a prettier cover—is the freelance CRM Notion template setup that sticks.

What not to do in the first ten minutes

  • Do not add twelve new properties “while you are here.”
  • Do not import five years of clients before one Today hit.
  • Do not build automations or buttons until the manual habit works for a week.
  • Do not expect Notion to email the client—copy the snippet out.
  • Do not buy a second tool because the empty Today view scared you; fill one Follow-up first.

After day one (optional 15 minutes later this week)

  • Rename Stage options to match how you actually talk (“Proposal sent,” not “Stage 3”).
  • Cap fields using the simple fields guide.
  • Add a Monday 10-minute calendar block: clear Today, then stop.
  • Read product scope and FAQ on the FollowRail homepage if you want the full feature list.
